I. POSITION PURPOSE

The Communications Coordinator is responsible for the successful implementation of events produced for United Educators members and advisory committees. The Coordinator takes a lead role in the planning, organization, and management of meetings, working closely with internal stakeholders. This position also involves the development and execution of communications materials, including meeting invitations and registration materials, web pages, e-newsletters and print publications. Administrative support for communications and business development functions is also involved.

II. MINIMUM REQUIREMENTS
• Bachelors degree in Communications, Marketing, Journalism or related business field
• 3-5 years of work experience; ideally in meeting planning or communications
• Excellent written and oral communication.
• Attention to detail, good organizational and time management skills.
• Ability to solve problems and make decisions.
• Good knowledge of Word and Excel.
• Knowledge of database systems and basic HTML would be an advantage.
• Ability to handle multiple assignments and meet deadlines.
• Proactive approach to completing tasks that involve other people.
• Good interpersonal skills and ability to establish and maintain relationships and work in a team.
• Ability to build good vendor relationships.

III. MAJOR DUTIES AND RESPONSIBILITES

MEETING and EVENT PLANNING — 50% of function; Regular travel required
• Consult with internal stakeholder(s) to identify meeting requirements, including dates, number of
attendees, meeting space, location, room requirements, A/V, and catering needs.
• Obtain RFPs and make vendor recommendations for meeting venues, restaurants, hotels, A/V providers
and caterers. Negotiate contracts; work with vendors to provide cost-effective services.
• Plan and manage all meeting logistics, including venue selection, food and beverage planning, A/V planning
and coordination of marketing materials and communications.
• Assist with the development and management of event budgets; process invoices.
• Travel onsite to events to manage event operations
• Develop online meeting registration and information systems/sites. Manage the RSVP process.
• Issue itineraries and pre-show packages to staff in a timely manner.
• Collect information, format and/or create documents, Xerox and compile attendee kits and binders.
• Maintain event records and issue post-meeting summary.
• Assist Member Relations Manager with meeting attendance and membership reports records.

COMMUNICATION COORDINATION—50% of function
• Perform other administrative duties as required including ordering UE giveaways, business cards,
stationery, employee name plates, etc.
• Perform updates and maintenance for Internet and intranet sites while ensuring accuracy.
• Provide editorial and graphic design support for communications outreach.
• Assists members/brokers with website registrations and usage.
• Provide administrative support and manage other projects as needed.
